Q. What does the policy cover me for?

A. All our health & fitness club insurance will include public liability should one of your customers or a member of the public gets injured whilst using your facilities. Professional Indemnity is included which will cover you should someone get injured by or arising from any tuition, instruction or advice given, as long as they are appropriately qualified to do so within your business. Should you employ any staff (including volunteers), you will legally need employers’ liability which we can also incorporate.

Q. Will my equipment be replaced on a new for old basis?

A. Yes, provided the insured value meets the cost of the new item.

Q. How quickly will my documents come?

A. We will issue your insurance certificate immediately after you have paid for your health and fitness club insurance.

Q. Do you include buildings and contents cover?

A. We would need the full details of the type of health and fitness club which you operate before we can confirm whether or not we can provide buildings and contents cover. Q. Can you cover my event outside of the UK?

A. We are only able to provide cover for events taking place within the United Kingdom.

Q. I am not a UK resident, can you still cover my event?

A. Our policy is designed to cover events organised by UK based individuals. Therefore, if you are not based in the UK, we are unable to offer cover.

Q. Is there a limit to the number of people that can attend my event?

A. We can cover events with up to 20,000 attendees. If you anticipate having more than this number, please get in touch and we will see if we can assist.

Q. What is the maximum length of time my event can last?

A. We provide bespoke quotes for events with a duration longer than 4 days.

Q. What level of Public Liability do I need for my event?

A. We cannot recommend which level of cover you need for your event, but if you are hiring a space from a Local Authority or another third party we advise you to check with them whether they require a minimum level of Public Liability.

Q. What is included under Contents and Equipment cover?

A. We include a wide range of items under our Content and Equipment cover including installations, lighting and rigging, marquees, computers, technology, merchandise and tools. For a full list, please see our policy wording. Any contents must be owned by you or come under your legal responsibility as the event organiser and cannot be a permanent fixture.

Q. How close to my event should I purchase my insurance?

A. You should take out your One Off Event Insurance policy as early as you can. By purchasing your cover at the earliest opportunity, you are giving yourself the maximum protection against cancellation, if you opt to include this cover.

Q. Do I need to take out Employers’ Liability for volunteers?

A. If you have anyone working for you, whether they are paid or otherwise, you legally must take out Employers’ Liability. The only exception is if those staff are bona fide sub-contractors with their own Public Liability of at least £2 million.

Q. What constitutes ‘Adverse Weather’?

A. For your policy’s Cancellation cover to come into effect under the Adverse Weather clause we require either a health and safety official or appropriate emergency authority to certify that it is dangerous or reckless to hold the event. We may require you to provide photographic evidence and Met Office records in the event of a claim under this benefit.

Q. My event takes place next week, can you still cover it?

A. Yes we can offer cover for an event even in the week it is happening. Please note that for any events taking place within seven days, there will be no Cancellation Cover. However, if you have obtained your quote prior to the seven day cut-off but have purchased subsequently, then Cancellation Cover will be included.

Q. Are there any activity types that you are not able to cover?

A. Yes we have a list of ‘Dangerous Activities‘ that we are unable to cover on this policy. If there will be any third parties exhibiting of trading at your event who will be engaging in any of these events, they must have their own Public Liability insurance in place.

Q. What does the policy cover me for?

A. This policy will cover for injury or damage caused by, or arising from, any tuition, instruction or advice. The policy will also cover third parties and third party property damage caused by either the coach or those being taught. Our personal trainer insurance also includes Professional Indemnity which will cover the trainer for injury or damage caused by or arising from any tuition instruction or advice given by or on behalf of the Insured in respect of the activities contained within their business description.

Q. Do I need to hold a First Aid certificate?

A. No, it’s great if you have one, just in case a client needs first response assistance, but it’s not compulsory.

Q. I instruct clients outside of a gym, will I be covered for this?

A. Yes, we’ll cover you for teaching anywhere in the UK, be it in the gym, client’s home or a public area. All we ask is that you’re qualified.

Q. What is the difference between £1m, £2m, £5m and £10m Public Liability?

A. This is the maximum amount we will pay for an incident which results in a claim or claims being made against you.

Q. How much cover do I need?

A. To determine what level is right for you or your business it’s important to consider the likelihood of a claim and the potential costs that may be incurred should a claim arise. If you use third-party facilities you should check to see if they have a minimum requirement. Often local authority facilities and schools require a minimum of £5 million.

Q. How quickly will my documents come?

A. We will issue your insurance certificate immediately after you have paid for your personal trainer insurance. They will be emailed to you instantly.

Q. Can you cover me to teach outside of the UK?

A. Yes, providing you have selected the appropriate option of either Europe or Worldwide (excluding the USA). You must be a UK resident and cover is limited to 30 days during the annual period.

Q. Am I covered to offer nutritional advice?

A. Yes, provided you hold a relevant qualification.

Q. Can you cover me for instructing children?

A. Yes, we can cover personal trainers who instruct children. We expect trainers to have obtained a suitable qualification for teaching children.

Q. Can you cover more than one coach under a policy?

A. No, this policy is intended for individuals who are self-employed personal trainers/sports coaches. Please see our sports business area for more information on sports business insurance.

Q. Can you advise me about the medical questionnaires I am meant to give to my clients?

A. Typically we would expect personal trainers to have a pre-exercise readiness questionnaire, which they give out to all of their clients. Usually, personal trainers have been taught about this in their training. We do not have a generic form that we are able to provide, although we need you to be aware of the medical condition of all your clients.

Q. Will my equipment be replaced on a new for old basis?

A. Yes, provided the insured value meets the cost of the new item.

Q. What activities are included?

A. The pet business insurance policy is valid anywhere in the UK and covers the following business activities: Dog Walking, Dog Training, Pet Behaviourist, Pet minding, sitting and boarding, Pet Taxi and transporting (UK only), Grooming and Microchipping. Included within the grooming activities are; hand scissoring, clipping, wash and blow drying, hand-stripping, de-shedding, nail cutting, ear plucking and cleaning, and anal gland expression.

Q. How many dogs can I walk?

A. A maximum of 6 dogs can be walked at any one time this includes exercise off the lead.

Q. Is there a minimum age that I can take out this policy?

A. To be covered by our Pet Business Insurance policy you must be at least 18 years of age.

Q. What does close family extension cover?

A. If you employ any of the following members of your family, they too will be covered for Public Liability under your policy as standard. You do not need to take out Employers’ Liability to cover those family members either. If however, your business is a limited company and the family members are directors, the close family extension will not apply. Family members included: Husband, wife, civil partner, father, mother, grandfather, grandmother, stepfather, stepmother, son, daughter, grandson, granddaughter, stepson, stepdaughter, brother, sister, half-brother or half-sister.

Q. Can I amend my policy at any time?

A. Yes, we appreciate that circumstances can change. It’s important that you notify us of any changes that may affect your insurance, please call us on us on 01494 887 909 to discuss your requirements.

Q. When do I get my insurance documents?

We will email your insurance details immediately after you purchase. Upon request, we can also issue a copy by post. There is a £3.50 fee for sending documents by post.

Q. How long will your insurance cover me for?

A. All of our public liability insurance policies are annual. If you require insurance for a shorter period, please contact us to discuss your requirements. To speak to one of our advisers call 01494 887 909.

Q. Is there a cooling-off period?

A. Yes, should you change your mind or wish to cancel your policy for whatever reason we offer a full refund within 14 days of purchase provided no claim has been made. Where cancellations are made after 14 days of the start date of the policy, the premium refund will be provided on a pro-rata basis and an administration fee will be charged.

Q. What is the process for making a claim?

Q. I'm British but live abroad, can you cover me?

A. We only cover persons who have been resident of the United Kingdom, Channel Islands or Isle of Man or at an official BFPO (ie British Armed Forces base) (in which case Country of Residence is substituted for United Kingdom) for at least the last 6 months.

Q. Does this policy cover third-party liability?

A. Yes, all policy types include third party liability cover, also known as personal liability. However, you may find that some sports have restrictions or exclusions for liability such as horse riding, dog-related activities and motorised sports. Personal liability is also excluded from Sports Accident Insurance and team policies for both football and rugby.

Q. Can I take out a policy for six months?

No, the policy is an annual policy but it is also available for one specific day or several consecutive days. If you reuiqre more than about 7 days cover, it would be more cost effective to take out the annual policy.

Q. Am I covered abroad?

A. While the Sports Accident and Children’s Personal Accident policies are valid worldwide, they are not designed to replace travel insurance and are only for personal accident (death/disability cover) and liability. No medical fees or repatriation costs are covered and therefore it is best to use Sports Travel Insurance for all travel purposes as we can provide full travel cover tailored to the sport you plan to do. If however you already have some general / basic travel insurance in place through your bank account for example, and want to do one or two days of sport abroad, you can take out our Activity TopUp policy which will cover your medical expenses and repatriation if you get injured whilst overseas.

Q. Can I transfer my cover to a different day if my activity is cancelled due tot he weather?

A. Yes, we allow two postponements, provided that we have written confirmation of cancellation from the activity centre where you planned to undertake the activity.

Q. Can I pay in instalments?

A. Yes – where the premium (the total price of the policy) is above £60.00, the payment can be split over 11 months. The initial payment will be 20% of the total premium, and the following 10 payments will split the remaining premium into equal instalments. There is no additional charge for paying your policy in instalments.

Q. I have a policy but am moving out of the UK, will I still be covered?

A. Yes, your policy remains valid until it’s natural expiry date. However, you will not be able to purchase another policy once you are no longer a UK resident.

Q. I currently take home £400 a week, would the policy pay me that amount as loss of earnings?

A. No, the maximum that you would receive would be a maximum of 75% of your normal take home pay, so £300 in this case assuming you had taken out cover for up to £300 loss of earnings.

Q. Can I claim for loss of earnings immediately?

A. You cannot claim for any loss of earnings for the first 2 weeks that you are unable to work, but after that, as long as you are signed off by a doctor, you can claim for up to 26 weeks from the date of the accident.

Q. I'm self employed and my pay varies from week to week. How would you calculate my loss of earnings?

A. We would ask to see evidence of your take home pay for the previous year, and divide that by 52 to calculate the weekly payout. Earnings are classed as anything that you pay yourself that you pay tax on.

Q. What is the maximum age you can cover on this policy?

A. Our policies will cover anyone up to the age of 74 at the time of purchase. An applicant aged 75 or over cannot be covered.

Q. Can I top up my cover?

A. Yes, you can increase your cover by buying income protection units to increase your levels of cover for loss of earnings. Each unit increases the benefit by £50 per week. Up to 20 additional “loss of earnings” units can be purchased meaning that the maximum payout per week could be £1000 as long as that did not exceed 75% of your normal take home pay.

Q. What type of Sports Businesses do you cover?

We insure thousands of sports businesses every year who operate within the sports and leisure industry. Our speciality is sports coaching businesses who operate in schools covering PPA. Our sports business insurance packages cover the key requirements any business would need but importantly we review each business and its operations to ensure its business activities are covered, which gives you the peace of mind to do, what you do best. We’ll consider any business that has an involvement with sport or leisure, including multi-sports coaches, gyms and fitness centres. Claims don’t occur very often but having been providing sports insurance for over 20 years we know they do and we know the costs involved should something happen.

Q. Do I need Public Liability Insurance?

All our sports business insurance policies include public liability as standard. This means that your sports business will be protected from third party claims made against you, whether that is accidental injury to another person or damage to third party property.

Q. What is Professional Indemnity?

Q. Do I need Employers’ Liability?

No matter what type of sports company you may run or own, you will need employers’ liability insurance if you are employing anybody, whether they are a paid member of staff or volunteers. Employers liability will protect you against any claims from your employees (including volunteers) who have been injured or become seriously ill as a result of working with you. Employers’ liability can be included to any sports business insurance policy with Protectivity at a small cost.

Q. Do I need Public Liability Insurance?

All our club insurance policies include public liability as standard. This means that you will be protected from any third party claims made against you, whether that is accidental injury to another person or damage to third party property, and/or claims made by any members of the club. All individuals who take part in sport and recreation have a duty of care to ensure they do not cause personal injury, financial loss, or damage to property. If their actions do cause injury, loss or damage and “negligence” can be proved, they become liable to pay for compensation as a result of their actions.

Q. What is Professional Indemnity?

Professional indemnity, or sometimes known as professional liability, will protect your sports club or association for any advice, tuition or instruction which has been given by a suitably qualified member of your staff.

Q. Do I need Employers’ Liability?

As a club owner or manager you will need employers’ liability insurance if you are employing anybody, whether they are a paid member of staff or volunteers. Employers’ liability will protect you against any claims from your employees (including volunteers) who have been injured or become seriously ill as a result of working with you. Employers’ liability can be included in any sports club insurance policy with Protectivity.

Q. What does the Protectivity Sports Coaching Insurance policy cover me for?

A. This sports coaches insurance policy will protect you from claims of injury or damage caused by your coaching, instructing or having given advice. The policy will also cover claims from third parties and third party property damage caused by either the coach or those being taught.

Q. How much cover do I need?

Q. What sports am I allowed to teach?

A. We will cover you for any of our listed sports, on the basis that you hold a relevant qualification which allows you to teach the sport.

Q. Do I need to hold a first aid certificate?

Q. Can you cover me for coaching children?

A. Yes, we can cover coaches who teach children provided suitably qualified.

Q. What coaching ratios can I work to?

A. We expect you to work to the ratio of 16-1 unless you hold a qualification which stipulates otherwise. If you coach in a school where support staff are available then we will be happy to increase the ration to a normal class size, so 30-1.

Q. Can you cover more than one coach under a sports coaches insurance policy?

A. No, this sports coaches insurance policy is intended for individuals who are self-employed sports coaches. Please see our sports business insurance area for more information.

Q. What type of sports events do you cover?

A. We insure all types of sporting events, most popular being obstacle course and multi-sports events. Unfortunately, because we have such an extensive list of events that we can cover, we don’t list them all on our Protectivity website. Q. Is there any age stipulation with your sports events insurances?

A. No, there are no age limits on our Sports Events Insurance.

Q. Why do I need insurance?

As well as protecting yourself as a league organiser from 3rd party claims the likelihood is that you will also require some specialist league insurance in order to run the league. This may be because you are using hired or rented facilities and as a result the local authority or facility owners may request proof of insurance before the league can commence. At Protectivity our league insurance package not only allows you to meet the requirements of facility owners but will also protect you against 3rd party claims.

Q. Will I need Employers’ Liability?

Sports leagues which employ members of staff, whether on a paid or voluntary basis will also require employers’ liability alongside the league insurance cover. Employers’ Liability insurance enables businesses to meet the costs of damages and legal fees for employees who are injured or ill at work. As a result it is a legal obligation for businesses in the UK who employ staff to have employers’ liability insurance to provide cover against a claim by an employee. (Employers’ liability insurance will not be required in the instances where sub-contractors with their own insurance of at least £2m public liability are used).

Q. I'm British but live abroad, can you cover me?

Q. Do you offer a discount for group bookings?

A. Yes, we offer a 5% discount for parties of 5 or more and a 10% discount for parties of 10 or more.

Q. I am going on a rock climbing holiday. If I select rock climbing, what is covered?

A. By choosing our rock climbing insurance, you will be covered for bouldering, sport climbing, via ferrata, trad climbing, multi-pitch climbing indoors and outside up to 7000m, and any other sports listed in the same or lower groups. You will also be covered for climbing crags in alpine valleys and abseiling. Examples of areas abroad where you will be covered include Fontainebleau, El Chorro, Colorado and the Dolomites. You will not be covered for climbs with crevassed approaches or descents or any climbing involving snow and/or ice.

Q. Are there any altitude restrictions when going on a climbing holiday?

A. Yes, you will only be covered up to 7000m. Please note that if you are likely to come across ice whilst you are climbing, you will need to select mountain climbing incl. ropes/guides. This will cover you for crevassed approaches and descents to mountain summits and ice climbing involving ice axes, crampons, ropes and the use of bolts. For this policy however you will be limited to 4000m when outside of Europe (zones 2 and 3).

Q. I'm planning to do an activity that isn't listed on the website, can you cover it?

A. Call or email us with your details and we would be happy to have a look into it for you. As we already cover over 500 sports, we might just be able to add another one.

Q. Will my policy cover a pre-existing medical condition?

A. It will depend upon what the condition is and the treatment being received, and it may be affected by the sport that you are planning to do. You would need to provide details which would be submitted to our underwriters, who would then agree the terms under which they would approve the condition. For some more common conditions we can tell you instantly whether or not you would be covered. Otherwise you can expect to hear within 24 hours (during the working week).

Q. Will my medical condition affect the price of my policy?

A. No. The only difference it will make is whether or not we will include cover for any claims relating to that condition. Sometimes the answer is no, and sometimes we will apply a higher excess to any claims that were connected to that condition.

Q. I already have a policy but have been diagnosed with a new medical condition, what should I do?

A. You should advise us of any new medical condition or injury sustained during the course of an annual policy otherwise cover for it will automatically be excluded.

Q. What should I do if I require medical treatment abroad?

A. At the first opportunity, you (or someone on your behalf) should call our Emergency Assistance no. 0208 608 4041. They will be able to help and advise you, and where possible deal direct with the hospital / clinic. If you need alternative flights / transport to get you home, they can help to arrange this. If the treatment is not an emergency, you should always check first to ensure that it will be covered. If you are in Europe, show your EHIC card whenever requested, and then you will not be charged the excess on your policy.

Q. What is the maximum age limit on this policy?

A. Our policies will cover anyone up to the age of 74 at the time of purchase. An applicant aged 75 or over cannot be covered.

Q. Will my annual policy also cover trips in the UK?

A. Yes, so long as it is a “trip” which we would define as a minimum of two nights away in pre-booked accommodation.

Q. Is my sports equipment covered?

A. Yes, we cover sports equipment under all our levels of cover: up to £600 on the Gold Sports Travel Insurance, £400 for Silver and £200 for Bronze. Cover under the Gold level of cover can be increased in £500 increments from the standard £600 cover, up to a maximum of £5,600.

Q. Can individuals travel alone even if they are covered on a couple or family policy?

A. Yes. However for children there are restrictions. Children under the age of 12 should always travel with an adult insured under the policy, or with a responsible adult. If travelling without an adult named on the policy, cover would need to be upgraded to the equivalent adult rate, and the appropriate additional premium would need to be paid. Children aged 12 and over can travel independently, but would need to pay / upgrade to the equivalent adult rate. A child can be included under the policy at the appropriate child rate up to the age of 23 as long as they are in full time education at time of purchase. A child under the age of 23 who is not still in full time education can be covered under the policy, but would need to pay the appropriate adult rate. Please call or email us to get a quote.

Q. Are there any countries you can't cover me for?

A. We are not able to provide cover under any section of the policy if you are travelling to a destination against the advice of the Foreign and Commonwealth Office (FCO). You can check this online at www.fco.gov.uk or by calling 0207 008 0232.

Q. I'm pregnant, can I get cover?

A. We can cover you provided that you are not expecting to give birth within 2 months of return from the trip and you will not be travelling against medical advice.

Q. Will I be covered to compete in a competition?

A. Most of our sports include cover for competitive sports unless they say otherwise. Often we then list the same sport including competition, so please check our full list of sports, or contact us to check.

Q. What dates do I need to cover myself for?

A. With this policy you would need to cover yourself from the date that you leave home to the date that you return to your home – not just for the dates that you will be doing an activity. You don’t need to add on extra days in case your flight is delayed though – if that happens through no fault of yours, you would be covered under the policy.

Q. Can I take out this policy after I have left the UK?

A. No you can’t. It must be taken out prior to departure.

Q. Will this policy cover me just like a standard travel insurance policy? Yes, just like any other travel insurance, we’ll cover you should you become unwell or have an accident abroad, lose your luggage or experience delays even on trips not involving sports.

Q. What does the policy cover me for?

A. The policy offers the following cover: Public Liability which will cover you for any injury or damage to a third party or their property caused by, or arising from, any tuition or instruction that you give during your business activities. Professional Liability (also known as Medical Malpractice) which will cover is available to protect you against claims relating to physical injury or psychological damage deemed to have been caused by your business activities. Professional Indemnity which will cover you for injury or damage caused by or arising from any tuition, verbal instruction or advice given by or on behalf of the Insured in respect of the activities contained within your business description. The policy also offers Equipment and Personal Accident cover as optional extras.

Q. Who underwrites your insurance?

A. Our Therapist Insurance policy is underwritten by UK General. They provide niche insurance to thousands of individuals and businesses across the UK.

Q. Do you cover students?

A. No, our Therapist Insurance policy will only protect those who qualified in there chosen treatments. The qualification must be obtained by an accredited awarding body.

Q. Do you need to see my qualification certificates?

A. No. You will only need to produce your qualification certificate(s) in the event of a claim. When you purchase your insurance we will ask you to declare that you have a suitable qualification for the activity that you require cover for.

Q. What if I train in new treatments or therapies whilst I am insured with you?

A. Providing the activity is one of the 250+ that we cover under this insurance and you have qualified via an accredited awards body, then we can add it to your policy and you will be covered. We ask that Call one of our team members on 01494 887909 (Mon-Fri, 9am-5:30pm).

Q. When does the wedding insurance cover start?

A. Cover will start as soon as you have made payment and you receive the policy documents.

Q. Who underwrites your insurance?

A. All of our Wedding Insurance policies are underwritten by UK General Insurance Ltd.

Q. Can I cancel the policy?

A. If you are unhappy with your policy for any reason, you have the right to cancel within 14 days of receiving your policy documents and have your full premium refunded providing the Wedding has not taken place and/or no claims have been made or are pending.

Thereafter you may cancel the insurance cover at any time by informing us, however no refund of premium will be payable.

Q. I am not a UK resident, but my wedding is being held in the UK can you still cover me?

A. Our policy is designed to cover weddings organised by UK residents. Therefore, if you are not resident in the UK, unfortunately we are unable to offer cover.

Q. Does your wedding insurance cover the honeymoon?

A. Unfortunately, not. If you would like to purchase honeymoon travel insurance, please visit our Sports Travel Insurance page, and select your sport type as 'Travel'.

If you are planning to enjoy your honeymoon to the fullest and do some activities, we can cover a huge range of popular honeymooner's activities like scuba diving, sea kayaking and event skydiving.

Q. Under your policy, will you cover portable toilets?

A. If you take out our Marquee Cover, we will cover any portable toilet facilities hired to use alongside the Marquee.

Q. Does your wedding insurance cover wedding planners?

A.We will only cover your wedding planners if the arrangement or contract between you and them is a planning service only. Cover is excluded if the wedding planners are responsible for paying suppliers on your behalf.

Q. If I am pregnant prior or after buying my Wedding Insurance, will I be covered for pregnancy related illnesses in the event of cancellation/rearrangement?

A. Medical complications due to pregnancy will be covered under injury and/or sickness, providing the bride is diagnosed after the purchase of the policy.

Q. Will I be covered if the wedding ceremony and wedding reception are on different dates?

A.Yes. You are covered for up to 2 ceremonies and 2 receptions, providing the date of your reception is within 56 days of the date of your ceremony.

Q. My partner is not a resident of the UK. Can you still cover us?

A.The marrying couple must both be a resident in the UK, have been living permanently in the UK for at least six months prior to the purchase of this policy and be registered with a local medical practitioner’.

Q. If I am hiring or booking a supplier who is not a limited company or is classed as a freelancer, will I still be covered?

A. Our Wedding Insurance policy includes cover for cancellation, rearrangement, failure of suppliers, personal and public liability, cover for your wedding attire and rings, all the way down to the finest detail and finishing touches.
