What does event insurance cover?

Our insurance for events is tailored to meet the diverse needs of event organisers, offering comprehensive protection for various event types. You’ll find public liability insurance for events included and you can add essential extras such as Event Cancellation and equipment cover as needed, to get the best possible price.

This policy is designed to deliver flexibility and value, helping you avoid costly claims. Cover can be adapted for a wide range of events, including fetes, parties, and community fun days, from one day and up to 52 events per year. We also offer One-Off Event Insurance to cover single day events, or events lasting up to 14 days.

Cover limits differ for Stallholders, Performers or Caterers. Make sure you have the correct insurance for your event and be sure to check if any exclusions are relevant to what you have planned in policy documentation.

Why do event planners need insurance?

Events Insurance with Protectivity complements the planning, risk assessment and contingency associated with running an event. We aim to support event organisers with their event responsibilities offering comprehensive cover and avoiding financial setbacks that may affect the success of an event.

Here are some common examples to demonstrate why event organiser insurance is the smart option:

Cover against claims if a member of the public gets injured.

Gatherings of people brings risks of accidents that can lead to injuries or damage. Ensure you have public liability to protect you against these incidents such as slip-and-fall accidents, injuries caused by equipment or structures, damage to personal property caused by the event.

An employee, temporary worker or volunteer suffers a workplace accident.

Event employees may be at risk of accidents or injuries during their work. A severe injury may mean they are then out of work themselves and bring a claim against the you, holding the event responsible for loss of earnings.

If employees or volunteers are involved in your event, employers’ liability is a legal obligation with fines of £2500 per day for failing to comply.

You are forced to cancel, abandon or postpone your event.

Add a safety net for your event in case of these unpredictable situations. Be prepared for cancellation, abandonment, postponement or interruption of your event by adding cancellation cover.

Accidental damage to event equipment.

During events, equipment is likely moved around and subsequently damages and losses are a higher risk.

Your venue asks for public liability to hold an event.

Your venue may expect proof of public liability for events as a minimum before you secure a booking to host an event.

Multi-Event Organiser Insurance

Are there special requirements for insuring events at listed buildings or heritage sites?

No, we do not have any exclusions or restrictions regarding listed buildings or heritage sites. Your policy would be valid providing you have the relevant permissions from the venue.  

Do I need specific coverage for serving alcohol at UK events?

No, we do not offer cover specifically for serving alcohol. We would however require you have a license to sell and serve alcohol for this to be covered under your policy. Please also ensure the venue allows alcohol consumption if necessary.

Am I covered for both indoor and outdoor events?

Our event insurance provides cover for both indoor and outdoor events. You will be prompted to specify if your event(s) will be held indoors or outdoors when obtaining a quote on the website or over the phone with one of our advisors.  

Do I need TEN (Temporary Event Notice) approval before getting event insurance?

No, we do not require you to have Temporary Event Notice approval to purchase our event insurance. However, please ensure you have completed all the relevant risk assessments and checks the venue requires for the insurance to be valid. 

How does equipment coverage work for multiple events?

The event property benefit provides cover for damage loss or theft of equipment up to £50,000 across the annual policy. Please note this does not include cover for stock.  

What happens if I need to change event dates or venues?

Can I cover staff who work across multiple events?

You will be covered under your policy for the number of employees selected when taking out the policy and this would apply to each event the policy is designed to cover throughout the policy period. Employers’ Liability is legal requirement if you employ staff (paid or unpaid). 

Do I need different coverage levels for different types of events?

You will be covered for the selected event type shown in your policy documents, however you can upgrade your cover at any time within your policy period to include cover for other event types.  

Can I add or remove events from my policy throughout the year?

We do not require you to inform us of each individual event occurring throughout your annual policy period. Please ensure you are keeping within the policy limits outlined in your policy documents.  

How does event insurance differ from one-off event coverage?

Our Event Insurance policy is available for single or multiple events. 

Our One-Off Events policy provides cover for a single even from 1 to 30 days in length. 

Our Multiple Events policy provides cover on an annual basis for up to 52 events across the year each with a maximum single event duration of 3 days.  

Can you provide Cancellation Cover on this policy?

No, unfortunately, we are not able to offer Cancellation Cover on our Multi Event Insurance policy. If you are organising an event in which you need to take out protection against cancellation, take a look at our One Off Event Insurance policy.

How many events in a year can be covered?

We can provide cover for up to 52 events in one calendar year, depending on the cover selected. You can choose how many events you need protection for during the quote process.

What is the maximum length of time my events can last?

On our Multi Event Insurance policy, we can only cover events up to eight days in duration, including set-up and set-down.

What is event insurance?

Event insurance protects event organisers from a range of mishaps in several specific areas. It normally includes general liability cover like Public Liability and Employers’ Liability and more specific protection against a range of potential complications that could negatively impact an event such as cancellation or equipment cover.

Can you cover my event outside of the UK?

We are only able to provide cover for events taking place within the United Kingdom.

Does public liability insurance cover the actions of my employees?

If an employee accidentally caused an injury to or damaged the property of a member of the public attending your event, with the individual seeking to make a claim against your business as a result, then you would be covered by your public liability insurance included in this policy.

However, public liability insurance does not cover you in the event of an employee making a claim against you, as this would fall under Employers’ Liability insurance, which is an optional extra.

One-Off Event Organiser Insurance

Is event cancellation cover available?

Yes, event cancellation is covered under our Event Insurance policy, however please note this is not available for weddings and must be purchased more than 14 days before the event is due to take place.  You can obtain a quick quote on our website for cancellation cover up £10,000, to be covered above this please contact us on 01494 887909.  

Do you offer cover for any cyber related incidents?

No, our Event Insurance policy does not offer any cover for cyber related incidents or data loss.  

Is there a limit to the value that equipment can be covered up to?

You can add up to £50,000 worth of cover, depending on your requirements.

Can you cover my event outside of the UK?

We are only able to provide cover for events taking place within the United Kingdom.

I am not a UK resident, can you still cover my event?

Our policy is designed to cover events organised by UK based individuals and organisations. Therefore, if you are not based in the UK, we are unable to offer cover.

What level of Public Liability do I need for my event?

We cannot recommend which level of cover you need for your event, but if you are hiring a space from a Local Authority or another third party we advise you to check with them whether they require a minimum level of Public Liability.

How close to my event should I purchase my insurance?

You should take out your One Off Event Insurance policy as early as you can. By purchasing your cover at the earliest opportunity, you are giving yourself the maximum protection against cancellation. If you require cancellation cover, you need to give at least 14 days notice to purchase this cover, you will be unable to buy cancellation cover within 14 days before the start of the event.

Do I need to take out Employers’ Liability for volunteers?

If you have anyone working for you, whether they are paid or otherwise, you legally must take out Employers’ Liability. The only exception is if those staff are bona fide sub-contractors with their own Public Liability of at least £2 million.

What constitutes ‘Adverse Weather’?

For your policy’s Cancellation cover to come into effect under the Adverse Weather clause we require either a health and safety official or appropriate emergency authority to certify that it is dangerous or reckless to hold the event. We may require you to provide photographic evidence and Met Office records in the event of a claim under this benefit.

My event takes place next week, can you still cover it?

Yes we can offer cover for an event even in the week it is happening. Please note that for any events taking place within fourteen days, there will be no Cancellation Cover.

Can you cover an event that has a fireworks display?

Yes, if you’re planning to have a firework display we can consider providing you cover for this event. There are two event types available, these are fireworks and bonfire displays provided by yourselves (the insured) and those displays provided by professional third party pyrotechnical companies, whom have their own insurance to provide fireworks and/or bonfire displays. Please make sure to apply for the correct one depending on which on applies to your event.

Can you protect against adverse weather?

Yes, we can consider cover for non appearance of key person(s). This may need to be considered by ourselves prior to giving a definitive answer and a quotation but you can opt to enquire about this during the quote process by selecting Cancellation Cover and then the Non-Appearance extension within this cover.

Does the policy cover those with stalls or exhibiting at my event?

Any independent stallholder, exhibitor or tradesman that works, sells or exhibits at your event should hold their own Public Liability Insurance. Our Multi Event Insurance policy is designed to cover you as the event organiser for your Liability.

If you have your own stall at events, then take a look at our Stallholder Insurance policy.

Can you protect against non-appearance?

Yes, we can consider cover for non appearance of key person(s). Opt to enquire about this during the quote process by selecting Cancellation Cover and then the Non-Appearance extension. Cover will be considered on a case by case basis.

Are there any activity types that you are not able to cover?

Yes, we have a list of ‘Hazardous Activities‘ that we are unable to cover on this policy.

If there will be any third parties exhibiting or trading at your event who will be engaging in any of these events, they must have their own Public Liability insurance in place.

What is included under ‘Event Equipment Cover’?

We can cover equipment you use for your event excluding motor vehicles, money, perishable goods and paintings, whilst they are in use at the event and in transit to and from the event only.

What is the maximum length of time my event can last?

If you are the event organiser then we can provide cover for events lasting up to 30 days in duration. If you will be attending as a stallholder, we can provide protection for a single event that lasts up to 14 days.

Will I need Employers’ Liability Insurance?

If you have any volunteers or paid staff at your event then you will need Employers’ Liability as a legal requirement. We would expect all sub-contractors to have their own insurance.

Will One-Off Event Insurance cover me for hiring out a venue?

Yes, our One-Off Event Insurance is suitable if you have been asked to purchase public liability insurance by the owners of a venue or local authority. Public Liability considers claims for third party property damage, so the venue you have hired for your event, as long as it’s not your property, can be considered as third-party property.

Does this policy cover event organisers?

No, this policy is designed to cover individual stallholders, selling a product or exhibiting items. It is not designed to cover the organisers of an event against claims. If you are an event organiser, take a look at our Event Insurance product which can cover you for one-off events or multiple events throughout the year.

Am I covered if one of my products I sell injures a third-party?

No, the liability insurance on this policy does not include liability arising from any products you sell on your stall.

How many days a year is my stall protected?

We provide cover for up to 14 days under our Single Event Stallholder Insurance policy (including set-up and set-down).
